Something not working, or a question about your event? Email cronomzstudio@gmail.com and you will get a reply from an actual person, usually within a few days. English or Bahasa Indonesia are both fine.
Reporting a problem
The more of this you can include, the faster it gets fixed:
- The event link (the one you share with guests, not your host link).
- Your phone or computer and browser, for example “Android, Chrome” or “iPhone, Safari”.
- What you tapped, and the message Gatherjar showed, word for word, or a screenshot.
For hosts
How do I manage my event from another phone?
Two ways:
- Sign in with Google (the Sign in button in Gatherjar). Events you host on that phone move into your account, and on any other phone you just sign in again to manage them.
- Use your host link. It’s shown when you create the event, and again at the bottom of Event settings. Tap WhatsApp to myself or Email to myself to keep it somewhere safe. Open it on the other phone and you’re the host there too. Keep it private: anyone with the host link can change the event.
I lost my host link
- Same phone or browser? Open Gatherjar: your dashboard lists every event you host, joined, or are treasurer of. The host link is at the bottom of Event settings.
- Signed in with Google? Sign in on the new phone and your events are back, with full control.
- Neither? Then the event can’t be recovered, not even by us. We only keep a scrambled fingerprint of host links, and we have no way to tell the real host from someone else claiming to be. Make a new event, and this time sign in or save the host link.
How do date and place votes pick a winner?
Options are ranked by how many people said yes, then maybe, then by fewer no. You can choose the winner yourself at any time. If you set a deadline, Gatherjar picks the top option when it passes; if two options are tied, the poll closes and you choose.
What happens when the event is full?
Once the seat limit is reached, new guests who say they’re coming join a waitlist. When someone who was going changes their answer, the first person on the waitlist gets the seat. They see "You got a place!" on the event page (and get a notification if they turned reminders on), and the host's update and Remind people list them so the host can tell them on WhatsApp too. Before someone gives up a seat in a full event, Gatherjar tells them who it goes to.
The venue finder says “busy today”
To keep Gatherjar free, venue search has a daily limit. It resets at midnight UTC (07:00 in Jakarta). You can still type a place’s name and a Google Maps link yourself.
How do I postpone, cancel or delete my event?
Open the event on a device where you’re the host, tap Manage event (the sliders button) and choose Postpone, cancel or delete at the bottom.
- Postpone sets the date to “to be decided” and keeps everyone, their answers and the bring list. Pick the new date when you know it.
- Cancel keeps the event’s page, marked “Cancelled”, with a note you can write for your guests, and gives you a message to send to the group. You can restore it later.
- Delete removes the event for everyone straight away, with all its answers, and can’t be undone.
When you postpone, cancel or delete, guests who turned on reminders get a notification.
How do I remove a guest?
In the People tab, tap the bin next to their name. Their answers, votes and bring-list claims are deleted. Leave Don’t let them join again from their phone on and they see “The host removed you from this event” and can’t rejoin from that phone. Someone determined could still rejoin from a different phone or browser with the event link; if that happens, make a new event and share the new link only with the people you want.
Do I need an account?
No. Signing in with Google is optional, for hosts and guests who want their events on every phone. Guests can always answer with just a name. You can delete your account any time from Your account (tap your initials at the top of your events).
For guests
Do I need to install anything or sign up?
No. Open the link, type your name and answer. Gatherjar remembers you on that phone or browser.
How do I change my answers from another phone?
On the device you answered from, open the event, tap your name at the top and choose Copy my personal link. Open that link on the other device.
Someone else answered on my phone
Tap your name at the top of the event and choose Not you?, then Just sign out on this phone. Their answers stay, and Gatherjar forgets who was answering on that device so the next person can join with their own name.
I tapped the wrong name
Tap the name at the top of the event, choose Not you? and then Remove it and pick my name. What was saved under that name is deleted, the name goes back on the list for the real person, and you can pick your own.
How do I remove myself from an event?
Tap your name at the top of the event and choose Remove me from this event. Your name, phone number, answers and claims are deleted. If you paid into the money jar, the payment stays in the host’s records under your name so they can refund it.
I paid but now I can’t come
Change your answer to Can’t go. Your Money tab then shows Refund pending, and the host sees you under To refund. Once they send it back and tap Refunded, it says so on your page. If the money paid for something that can’t be cancelled, the host can choose Keep it instead.
Can I see my events on another phone?
Yes, if you sign in with Google: tap your name at the top of an event and choose Keep this event on all your phones. Events you joined on that phone are linked to your account, and on any other phone you just sign in. Without signing in, use Copy my personal link.
Who can see my name and phone number?
Everyone with the event link can see guest names and answers. Your phone number is optional and only the host sees it. See the privacy policy for details.
Money jar
How do I collect money? (hosts)
On your event, tap Collect money under the polls. Set the amount (per person or per family), how to pay (bank account, e-wallet, a payment link or your QRIS image) and an optional due date. For trips, Use the trip budget fills in each person’s share. Guests pay you directly and tap I’ve paid; you check your account and tap Received. Gatherjar never touches the money.
What are unique amounts?
Each guest gets a slightly different amount to pay, such as Rp150.023 instead of Rp150.000, shown to them as “Rp150.000 + Rp23 unique code”. When a transfer arrives, the last digits tell you who it’s from. The total you’re collecting stays a round number, and the host’s own share has no code: hosts don’t transfer to themselves, they mark their share as paid.
Someone paid in cash
In the Money tab, find them under Who has paid and tap Mark paid.
Someone paid and then dropped out (hosts)
They appear under To refund in the Money tab, and on your dashboard. After you transfer it back, tap Refunded: it leaves the total so the jar matches your account. Tap Keep it if the money can’t be refunded.
Is the event online?
Turn on Online (video call) where you set the place and paste the Zoom, Google Meet or Teams link. Guests see a Join button instead of a map, and the link goes into your updates, reminders and their calendar.
My guests are in another time zone
Times are shown in the event’s time zone (for example WIB). Someone whose phone is on another clock also sees the time on theirs, like “7:00 PM WIB · 2:00 PM your time”, on the event, the date vote and their dashboard.
Can someone else check the payments?
Yes. Under Treasurer in the Money tab, type their name and tap Invite, then send them the link. They can check payments and keep the money report, but can’t change the rest of the event. You can remove them any time. The link is shown only once; if it gets lost, tap New link next to their name (the old link stops working).
I paid but it says “Not received”
The treasurer couldn’t find your transfer. Check the amount and account, then message the host; you can tap I’ve paid again with a screenshot.
Who can see my payment screenshot?
Only you, the host and the treasurer. It’s deleted automatically 90 days after the event.
Reminders
How do I get reminders?
Tap your name at the top of an event and turn on Remind me on this phone, then allow notifications. If you’re signed in, you can also turn on Email me reminders. Reminders come the day before, when a vote is closing, and when something still needs you, never at night. You also get the host's announcements and a note when you get a place from the waitlist.
I’m on iPhone and the switch doesn’t work
iPhones only allow website notifications from apps on the Home Screen. In Safari, tap Share → Add to Home Screen, open Gatherjar from the new icon, and turn reminders on there.
How do I remind my guests? (hosts)
Tap the bell at the top of your event. Remind people lists who hasn’t answered or voted and what nobody is bringing yet, with a message ready to send on WhatsApp to the group or to each person who left a number.
How do I stop reminder emails?
Click Unsubscribe at the bottom of any reminder email, or switch Email me reminders off in any event.
